Privacy Policy

Last updated: 26 September 2026

1. About this policy

This Privacy Policy explains how Wasp Man Australia collects, uses, stores and discloses personal information, and how you can access or correct it or make a complaint. It is written with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) in mind.

Wasp Man Australia (ABN 99 496 304 177) is part of Xterminator Feral Solutions. We provide European Wasp inspections, trapping, trap servicing and nest destruction in New South Wales and the Australian Capital Territory. In this policy, "we", "us" and "our" mean Wasp Man Australia.

This policy covers our website (www.waspman.com.au) and our dealings with you by phone, email, WhatsApp, social media and on site. It works alongside our Terms of Use, which cover use of this website, and our Terms and Conditions, which cover our services.

2. The personal information we collect

Personal information is information or an opinion about an identified person, or a person who is reasonably identifiable. Depending on how you deal with us, we may collect:

  • Contact details: your name, phone number, email address and postal address.
  • Property details: the property address or location, who owns or manages it, and access notes (for example gate codes, locked areas, animals, hazards and the best times to visit).
  • Wasp sighting details: the date, time, area and address of a sighting, how many wasps you saw, what they were near, and any notes you add.
  • Photos and videos: images you send us of wasps, nests or your property, and photos, maps, GPS locations and notes we record while working on site (see section 5). Photos taken on a phone can contain hidden location data.
  • Billing information: the details we need to quote and invoice you, such as the billing name and address. We don't collect or store credit or debit card details. Payments are processed by banks and payment providers, and we receive only the payment confirmations and records we need for invoicing and tax.
  • Communications: records of your calls, emails, WhatsApp and social media messages, and notes of our conversations with you.
  • Website usage information: information about how you use our website, collected through Google Analytics and cookies (see section 6).

We don't ask for sensitive information such as health information. Please don't send it to us unless it's relevant to your safety on site (for example, a known severe allergy to stings).

3. How we collect it

We collect personal information:

  • Through our website: when you complete the Report Wasp Sightings form, or use the Contact button, which opens an email to help@waspman.com.au;
  • By phone or messaging: when you call us on 1300 492 777, message us on WhatsApp (+61 468 280 640), or contact us through one of our Facebook pages;
  • By email;
  • On site: when we inspect, trap or treat a property;
  • From others: for example a landlord, property manager, neighbour, school or council that asks us to attend a property, where it's unreasonable or impractical to collect the information from you directly.

If you give us information about another person, such as a tenant or neighbour, please make sure they know you've done so.

4. Why we collect, use and disclose it

We collect, use and disclose personal information to:

  • answer your enquiry and assess the wasp activity you report;
  • give quotes and arrange bookings, access and site visits;
  • carry out inspections, trapping, trap servicing and nest destruction;
  • manage safety for you, other people, animals and our technicians;
  • send invoices, receive payments and keep business records;
  • meet our legal obligations, such as tax, workplace safety and other record-keeping requirements;
  • handle complaints and disputes;
  • understand how our website is used and improve it.

We may also use sighting information in a form that doesn't identify you, for example to map where European Wasps are active.

We don't sell personal information.

We don't use computer programs to make decisions about you that could significantly affect your rights or interests.

5. Photos, site records and monitoring equipment

When we work on a property, we may take photos or video of nests, traps and the work area, record maps and GPS locations, and, as set out in our Terms and Conditions, place cameras or other monitoring equipment. We use these records to plan and carry out the work, to show results (for example images of destroyed nests), for our business records and training, and for education about European Wasps.

Our Terms and Conditions deal with ownership and confidentiality of images and site information. In summary:

  • we keep confidential the location of the property and any imagery that would reasonably identify the property or the people involved, unless you agree otherwise in writing;
  • if our cameras capture images of a private or confidential nature, we destroy them and don't circulate them. The exception is images that suggest illegal activity, as set out in our Terms and Conditions.

6. Website analytics and cookies

Our website uses Google Analytics 4, a web analytics service provided by Google. It uses cookies (small text files stored by your browser, such as _ga and _ga_VGDJV2L2BQ) to tell us, in aggregated form, how visitors find and use the site: for example the pages viewed, the device and browser type, and the approximate location (city or region). We use this information to improve the website.

We don't use it to identify you, and we don't use Google Analytics for advertising.

Google says that Google Analytics 4 uses IP addresses to work out approximate location and then discards them, and doesn't log or store them. Google handles this information under its own privacy policy. For more, see "How Google uses information from sites or apps that use our services" (policies.google.com/technologies/partner-sites).

You can opt out of Google Analytics by:

The website will still work if you do.

Our website platform and hosting providers may also set cookies that are needed for the site to load and work securely, and may record technical information such as IP addresses in server logs.

7. Who we share information with

We disclose personal information only for the purposes in section 4, or as otherwise allowed by law. This may include:

  • Our staff and subcontractors who carry out work for us. Our Terms and Conditions explain how you're told about subcontractors.
  • Service providers who help us run the business, including:
    • FormSubmit (formsubmit.co), which receives Report Wasp Sightings form submissions, including any photos, and forwards them to us by email;
    • Google, for Google Analytics and our email service;
    • WhatsApp (Meta), if you message us that way, and Meta (Facebook), if you contact us through Facebook;
    • our website platform and hosting providers;
    • accounting and invoicing providers;
    • our professional advisers and insurers.
  • Where required by law: we may disclose information where the law requires us to, for example under a court order.
  • Anyone else you authorise.

We do not share sighting reports with government agencies or councils.

We expect our service providers to handle personal information only for the services they provide to us.

8. Information stored or sent overseas

Some of the service providers listed in section 7 (including Google, Meta/WhatsApp, FormSubmit and our website platform and hosting providers) may store or process personal information outside Australia, including in the United States and other countries where they or their suppliers operate. We take reasonable steps, in line with APP 8, to use reputable providers. However, overseas providers may be subject to the laws of the countries where they operate. By using these services to contact us, you understand that your information may be handled overseas.

9. Direct marketing

We'll only send you marketing messages, such as seasonal reminders or offers, if you have agreed to receive them, or where the law otherwise allows it. Every marketing message will include an easy way to opt out, or you can ask us to stop at any time by emailing help@waspman.com.au. We'll still send you messages about work you have booked, such as confirmations and invoices.

10. Dealing with us anonymously

You can ask general questions about European Wasps without telling us who you are, or by using a pseudonym. To give a quote, book a visit, work on a property or send an invoice, we'll need your name, contact details and the property address.

11. Keeping your information secure

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, change or disclosure. These include limiting access to the people who need it and using password-protected accounts with reputable service providers. Please be aware that no method of sending information over the internet is completely secure.

12. How long we keep it

We keep personal information for as long as we need it for the purposes in this policy, or as required by law. For example, business and tax records generally need to be kept for at least five years. When we no longer need personal information, we take reasonable steps to destroy it or de-identify it.

13. Accessing and correcting your information

You can ask for access to the personal information we hold about you, or ask us to correct it if it's inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details in section 19. We may need to confirm your identity first.

We'll respond within a reasonable time, generally within 30 days. We won't charge you for making a request. If giving you access involves significant work, we may charge a reasonable fee, and we'll tell you before we do. If the law allows us to refuse a request, we'll explain why in writing and tell you how to complain.

14. Data breaches

If we become aware of a data breach involving personal information we hold, we'll act promptly to contain it and assess the risk of harm. We'll notify affected people and the Office of the Australian Information Commissioner (OAIC) where the law requires, including under the Notifiable Data Breaches scheme where it applies.

15. Children

Our services are for property owners, occupiers and managers. We don't knowingly collect personal information from children. If you are under 18, please ask a parent or guardian to contact us for you.

16. Links to other websites and social media

Our website links to other sites, including our Facebook pages, WhatsApp and government websites. We're not responsible for their privacy practices. Please read their privacy policies. Information you post publicly on social media may be seen by anyone.

17. Complaints

If you have a concern about how we have handled your personal information, please contact us first (see section 19) and give us the details. We'll acknowledge your complaint, look into it and respond within a reasonable time, generally within 30 days.

If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC):

18. Changes to this policy

We may update this policy from time to time. The current version will always be on this page, with the date it was last updated.
